Wedding Packages For 50-100 Guests: Price Range: $14,000-$30,000 Here is a breakdown of what would be included in this example Wedding Package:  An example of a destination wedding package for up to 50 people typically offers a complimentary night for you and your spouse when you celebrate your first anniversary at any resort within the same chain Reviewing the inclusions of this package reveals additional elements such as a two-hour welcome cocktail party, hair and makeup services, and four hours with a standard DJ. For the appropriate couple, this package offers great value. However, I wouldn't suggest it for someone hosting 40 guests or for couples not interested in a welcome cocktail party, or perhaps preferring a live band over a DJ. From selecting the perfect venue to building strong connections with the onsite wedding team, who can bring your vision to life, each step will get you closer to making your big day the wedding you’ve always dreamed of. Here are some general tips for you to follow to ensure the wedding outcome is unique and will leave a solid impact on all your guests. Ensure there are no recent travel warnings, political issues, or health concerns. Consider the feasibility of travel for all guests, especially those with specific needs. Discover the must-see attractions, experiences, and sites that your destination has to offer. This will be part of what your guests may enjoy and you want them to create memories while celebrating with you. If golf is on the list, find out your options that are nearby where you and your guests will be staying and ask about setting up a group. Consider The Weather: Understand the climate of the destination and how it will be around the time of your planned wedding. Always have backup plans in case of bad weather. Consider hosting additional events like a bachelor/bachelorette, a welcome party, or a farewell brunch. Check out locations in the area to host these events and enhance your guests' experience. They can also be held at the resort venue you choose as well. Here are some key things to keep in mind: ● Location: Choose a location that aligns with your vision and is easily accessible to all your guests. If you can find a location that is within 30-45 minutes of the airport, that is ideal, but don’t let that be your sole criteria. ● Ceremony & Reception Locations: Seeing ceremony and reception sites available at your resort or at an offsite venue is the number one decision to make on a pre-wedding planning trip. You need to be able to “see yourself” truly having the ceremony of your dreams there. ● Capacity: Make sure the space is right for a group of your size and that the venue's capacity is suitable for both the ceremony and reception ● Policies: Ask about the venue's policies on outside vendors, alcohol, decor, music and entertainment, catering, cake, accommodations, insurance, and security ● Accessibility: Check the venue's policy on accessibility and parking situation. If you are inviting people who are more physically challenged, then choosing a location and resort that is easy to get around in, without a lot of hills or valleys, is preferable. ● Indoor vs. Outdoor: Decide whether you want an indoor or outdoor wedding and consider the pros and cons of each option. Obviously, unless the weather is a factor, most people will have their ceremony and reception outside, that’s the main reason you are having a destination wedding however, there are times when you could have the beauty of an outdoor ceremony, with the comfort of a ballroom reception, out of the heat and humidity. It just depends on you. NOTE: Make sure that the resort you choose does have quality spots for a backup plan if needed when weather is bad. ● Your Guest Experience: The comfort and enjoyment of your guests is also a top priority area. Make sure that the resort you choose will have plenty to offer for all of your family and friends you are inviting to your wedding. Tip 3: Meeting With The Onsite Wedding Team  Meet with Resort Wedding planner One advantage of doing a pre-destination wedding visit is being able to meet with the onsite wedding team to see how you relate and communicate with them. Your comfort level of course is of utmost importance when working with a wedding team. Here are some areas to consider during your visit to maximize the productivity of your meeting. 1. Prepare a list of questions that include inquiries about menu options, venue capacity, and decor choices. 2. Be receptive to suggestions and recommendations from the onsite team. They possess valuable experience and knowledge about the venue and the local area, which can prove invaluable in making informed decisions. With that said, make sure the team is actually listening to your concerns and needs. If they aren’t now, when they are looking for your business, they really won’t be once you’re signed, sealed, and delivered. 3. Take a comprehensive tour of the venue alongside the team. This will give you a clearer understanding of the space and how it can best be utilized for your wedding. 4. Communicate your wedding vision and preferences. Collaborate with them to develop a plan that aligns with your desires and suits your budget. Again, make sure they are listening to you, not just pushing their own agenda. 5. Ensure that your expectations are transparently communicated. Any special requests or requirements should be clearly articulated to the onsite team. Your meeting should make you feel like you can collaborate effectively with the onsite team to make well-informed decisions for your wedding, resulting in a memorable and enjoyable experience for you and your guests. NOTE: Unfortunately the reality is that many of the resort wedding venues have high turnover in the onsite wedding staff. It’s very possible that the team you start with, won’t be the team you end up with as you get closer to your wedding. With that said, I always advise couples to consider hiring a destination wedding consultant to help them with every aspect of their destination wedding, including keeping in constant communication with the onsite team, and any changes that may occur, so that you don’t have to constantly be trying to keep up with it all. And trust me, it's not as easy as picking a date for a local wedding when you can pop into venues on a Saturday afternoon. That's where a destination wedding specialist, like yours truly, comes in handy. We'll help you find the ideal wedding venue that suits your style and budget, so you don't waste time scrolling through endless options. Not securing your date and time is one of the top mistakes I see wedding couples make when trying to plan a destination wedding. I recommend you to read my blog about the benefits of choosing all-inclusive resort for your destination wedding Step 2 – Get a group contract set up (As soon as the venue is selected) Once you've nailed down your wedding date and time, it's time to secure a group contract. This contract ensures that all your guests have a room at the same rate, making everyone's stay seamless and enjoyable. As a destination wedding specialist, I personally work with a travel supplier (vs booking directly with the resort) to set up the group contract, as it simplifies the process and ensures you get the best deals. Step 3 – Send out Save the Date invites (Give guests as much time as possible, at least 6 months, preferably a full year) With the wedding date and group block secured, it's time to spread the excitement by sending out Save the Date invitations. Make sure your invites include all the essential details, and if you're working with a destination wedding travel specialist, we can set up a wedding website where your guests can easily reserve their rooms. Plus, when your guests book with group you can earn some fantastic perks like free rooms and upgrades. Here are some tips to make the most of it: - Consider a pre-wedding planning trip to your chosen destination, taking advantage of any discounted rates. - Research fun group activities like a catamaran cruise to keep your guests entertained. - Remind your guests to RSVP by reserving their rooms with a low deposit. - If you're hiring a photographer/videographer not on the resort's preferred list, plan for the outside vendor fee, or consider having someone from the U.S. attend as a guest to avoid it, but we aware that some resorts won't allow it. Step 5 - Start planning the wedding (Between 4-6 months from the wedding) Even if your resort isn't ready to dive into the nitty-gritty details just yet, start planning by creating a Pinterest board with your wedding inspirations for decor, colors, and flowers. When the time comes, you'll be crystal clear about your preferences. Other planning decisions include menu selections, photography packages, and music for the reception. Step 6 – Final Payments and Transfers (60 – 75 days before travel) Approximately two months before the big day, it's time to make final payments for room reservations. Don't forget to gather your guests' flight details, so transportation can be coordinated smoothly. Double-check those itineraries to ensure they match their room dates, as discrepancies can arise if you wait until the last minute. (2 weeks before travel) As the wedding day draws near, send out travel documents via email about two weeks before the trip. Ask your guests to review them thoroughly and notify you of any questions or discrepancies. Provide them with tips and reminders for a stress-free trip, including details on online check-in, shuttle services, gratuities, and emergency contacts. Again, this is something I can easily take off your plate. Phew, we've covered it all!
